General Terms and Conditions for Attending ICON International Events
These Terms and Conditions apply between every person who registers to attend any event organized by ICON International for Exhibitions and Conferences or any affiliated entity (referred to as the “Organizer” or “We”), and the registered person (referred to as the “Visitor” or “You”).
These Terms aim to regulate the relationship regarding your attendance at our events, whether they are in-person or digital. By completing the registration process, you agree to be fully bound by these Terms.
I. Scope of Events and Nature of Attendance
- Our events are directed at professionals and business sector workers, and are not directed at children or individuals under the age of 18.
- Event entry is currently free of charge, yet it remains subject to the prevailing controls and policies.
- The Organizer reserves the full right to amend or update these Terms and Policies at any time without prior notice, and your continued attendance constitutes your agreement to the amendments.
II. Registration and Acceptance
- These Terms become effective immediately upon our receipt of your registration form.
- The Organizer has the right to accept or reject any registration without stating reasons, and at any stage—even after initial approval—including for security vetting or any regulatory checks.
- Any additional conditions presented by the Visitor and not approved by us in writing shall be considered void and without legal effect.
III. In-Person Attendance
- The Organizer shall not be responsible for loss of or damage to personal belongings during the event.
- The Visitor undertakes not to cause any damage to the venue, site facilities, or the properties of the Organizer or participants. The Visitor shall bear the full cost of repairing any resulting damage.
- Correct and accurate data (Name – Phone number – Email) must be provided upon registration. We may refuse entry to anyone whose data was not submitted in advance.
IV. Compliance with Rules and Instructions
- The Visitor must comply with all instructions related to:
- Health, safety, and security regulations within the event site.
- Digital event platforms, including codes of conduct, acceptable content, and privacy protection.
- The Organizer has the right to deny entry or immediately remove the Visitor from the event in the following cases:
- Violation of the Terms.
- Attempted unauthorized access to any content or systems.
- Causing disturbance or a security threat.
- Causing material or behavioral harm.
V. Photography and Documentation
- Photography or recording is not allowed without explicit permission from the Organizer.
- The Organizer or its authorized representatives may photograph the event, including images or videos where the Visitor may appear.
- Your attendance constitutes consent to the use of your images and video clips for promotional purposes without any liability towards the Organizer.
VI. Intellectual Property Rights
- All materials, content, publications, and digital materials related to the event are the property of the Organizer, and the company holds all rights thereto.
- The Organizer grants you a limited, non-exclusive, and revocable right to use the event materials solely for the purpose of attendance.
- Copying, publishing, or sharing event materials is prohibited without prior written permission.
- Your consent to appear in any images or content is considered part of the Organizer’s rights to use those materials.
VII. Data Protection
- Your data will be used in accordance with the Organizer’s approved Privacy Policy.
- Your data may be shared only with parties involved in organizing the event (service providers, security, digital platforms, etc.).
VIII. Changes to the Event
The Organizer reserves the full right to make any changes to the event without prior notice, including:
- Event format
- Program content
- Event date
- Event location
- Digital platform
The Organizer shall bear no obligations or compensation as a result of these changes.
IX. Force Majeure
The Organizer shall not be liable for any changes or cancellation resulting from Force Majeure circumstances, such as:
- Emergencies
- Disturbances
- Natural disasters
In such cases, the Organizer has the right to change the date, format, or cancel without any financial obligation towards the Visitor.
X. Indemnification
The Visitor undertakes to indemnify the Organizer against any losses or claims resulting from:
- Violation of the Terms.
- Any infringement of intellectual property rights.
- Misuse of the digital platform.
- Any third-party claim arising from the Visitor’s actions.
XI. Limitation of Liability
The Organizer shall not be liable for:
- Loss of profits or business opportunities.
- Loss of reputation.
- Any indirect losses.
- Any issues or malfunctions related to digital platforms.
The maximum limit of the Organizer’s liability – if any – is restricted only to what is permitted by local laws.
XII. Termination of the Agreement
The Organizer may terminate these Terms immediately and without notice if:
- The Visitor commits a material breach.
- The Visitor engages in misconduct that affects the reputation of the company or the event.
The provisions on Indemnification and Limitation of Liability shall remain in effect after termination.
XIII. General Provisions
- The Organizer may publicize your attendance at the event, including your job title and company name.
- This document constitutes the entire agreement between the parties.
- These Terms are governed by the laws and regulations of the Kingdom of Saudi Arabia, and Saudi courts shall have jurisdiction over disputes.
